Privacy Policy

This policy explains what personal information Bass Nutmeg handles through this website and during route planning work, why, and what you can ask of us.

Last updated: 27 October 2026

1. Who handles personal information

This page applies to the website at bassnutmeg.com and to the advisory work offered through it under the name Bass Nutmeg. The business is run by the operator of Bass Nutmeg ("we"). The operator's legal name and responsible person are not printed on the site; they are given on request and are listed as such in the Impressum and in the notice under the Act on Specified Commercial Transactions.

Contact for anything on this page: info@bassnutmeg.com, phone +81 154-24-2036, postal address 2-11-15 Kitaodori, Kushiro, Hokkaido 085-0015, Japan.

2. What the website itself collects

The only way to give us information through the pages is the enquiry form on the home page and the Contact page. It asks for a name, an e-mail address and a free-text message. Nothing else is requested, and no account is needed to use the site.

The pages set no cookies, keep nothing in local storage and load no analytics or advertising tags, as described in the Cookie Policy. The web server that delivers the pages normally keeps technical access logs (IP address, time, requested page, browser type). Those logs are held by the hosting provider under its own settings and are not used by us to identify visitors. The provider's name is given on request.

3. Information that arrives with an engagement

Route planning work needs operational records: order lists, journey records, delivery windows and driver shift data. Such records can contain personal information about people who are not parties to our agreement, for example driver names, recipients' names, delivery addresses and phone numbers used for arrival notices.

We ask that records be supplied in the thinnest form that still allows the work: stop identifiers in place of recipient names, addresses cut to town and block where that is enough, and driver codes in place of names. You remain the party responsible for having a proper basis under the Act on the Protection of Personal Information (APPI) for handing the records over. We treat them as entrusted to us for the engagement and use them for nothing else.

4. Purposes of use

We use personal information for these purposes and no others:

  • answering enquiries sent through the form, by e-mail or by phone;
  • preparing and discussing a written proposal;
  • carrying out an agreed engagement, including analysing the records you supplied and reporting the findings to you;
  • invoicing, record keeping and meeting legal obligations;
  • responding to a request made by the person the information concerns.

We do not use it for advertising, we do not build profiles, and we do not send newsletters or marketing messages.

5. Disclosure to third parties

We do not sell personal information and do not hand it to third parties, except where the law requires it or where a service provider handles it on our behalf. Providers that may do so are the e-mail and hosting services used to run the site and the mailbox, and any storage used for engagement files. They are chosen to work only under our instructions.

If one of these providers keeps data outside Japan, we will tell you the country and the provider when you ask, in line with the APPI rules on transfer to a foreign party.

6. Safety management

Enquiries and engagement files are available only to the person who needs them to do the work, and are kept on storage that is protected by access controls. Records you supply for analysis are not copied into other projects. We do not hold or claim an ISMS or Privacy Mark certification; the measures described here are ordinary practice, not a certified scheme.

If a leak affecting personal information occurs, we will assess it, report it to the Personal Information Protection Commission where the law requires, and tell the people concerned.

7. How long information is kept

Enquiries are kept while a conversation is open and for a reasonable period afterwards, and are then deleted. Engagement records are returned or deleted at a point agreed in the written proposal; if the proposal says nothing, that point is the end of the month-one review. Invoicing records are kept for as long as Japanese accounting rules require.

8. Your rights

Under the APPI you can ask us to disclose the personal information we hold about you, to correct it, to stop using it or to delete it, and to tell you the purposes for which it is used. Write to the address in section 1. We may ask for proof of identity before acting, and may charge a reasonable fee for disclosure as the Act allows.

If you are a driver or a recipient whose details sit in a client's records, the client is usually the first party to ask, because the client decided what to supply. You may also ask us directly and we will answer within the limits of the law.

9. Complaints

If you are not satisfied with how we respond, you can write to us again at the address in section 1. You may also contact the Personal Information Protection Commission (個人情報保護委員会), the public body that oversees the APPI.

10. Changes to this policy

When a practice described here changes, this page is updated before the change takes effect and the date at the top is revised. The current version was written on 27 October 2026.
